How to Print a Calendar at Home (Without the Headaches)
Printing a calendar should be simple, but a few easy-to-miss settings are the difference between a crisp, full-page grid and a tiny, off-center mess. Here is exactly how to print a clean calendar from any home printer.
Step 1: Pick the Right Paper Size
Before you print anything, set the paper size in the generator to match the paper in your printer. In North America that is almost always US Letter (8.5 x 11 inches); in most of the rest of the world it is A4. Getting this wrong is the number one cause of cut-off or shrunken calendars. Step 2: Choose Portrait or Landscape
Match the orientation to the layout:
- Monthly grids usually look best in landscape, which gives each day cell more width for writing. Try it with the monthly calendar generator.
- Weekly planners and lists often work better in portrait. The weekly planner generator previews both so you can compare.
- Year-at-a-glance calendars from the yearly generator are designed for landscape.
Step 3: Fix the Print Dialog Settings
This is where most calendars go wrong. When your browser's print dialog opens:
- Paper size: confirm it matches Step 1 (Letter or A4).
- Margins: set to Default or None. Wide margins shrink the grid.
- Scale: leave at 100% (not Fit to page, which can distort proportions).
- Background graphics: turn this on. If it is off, grid lines and shaded headers disappear and you get a nearly blank page.
That last setting -- background graphics -- is the single most common reason a calendar prints without its lines. If your grid vanishes, check there first.
Step 4: Print a Test Page First
Before running a full-color, full-page print, do a single test page. Confirm the grid fills the sheet, the text is legible, and nothing is cut off at the edges. Adjust and reprint one page until it looks right -- then print the rest.
Step 5: Choose the Right Paper Stock
Standard 20 lb printer paper is fine for weekly planners you will replace often. For a wall or desk calendar you want to last the month, print on heavier 28-32 lb paper or cardstock. Desk calendars printed with the desk calendar generator fold into a tent shape and hold up much better on cardstock.
